Change, Cancellation, and Refund Policy

DM Delphi Services

In order to ensure sufficient space is available for all interested parties, the following policy will apply to change, cancellation, and refund requests.

Player Changes

Players may permit a substitute player to sit in for them in a session up to 2 hours prior to the scheduled time of the session. The substitute player may play the original character or their own. The substitute player is subject to all terms and conditions, the Adventurer Code of Conduct, and any social contract applicable to the campaign. Banned players may not be substitutes.

Session Change / Cancellation

A reservation holds time on our schedule or a seat at our table. While we understand that life happens, when a party has reserved a time, that time cannot be sold to another group. Sessions may be changed or cancelled up to 72 hours (3 days) prior to the session. Changes or cancellations within 72 hours are subject to the following cancellation fees:

48-72 hours - 50% cancellation fee
24-48 hours - 80% cancellation fee
Less than 24 hours - Nonrefundable

Individual sessions may be changed to an alternate date or time (subject to availability) for 10% off the cancellation fee up to 24 hours prior to the scheduled session time. Within 24 hours of the scheduled session time, the session remains fully nonrefundable. All requests for changes or cancellations must be made via email to delphi@dmdelphi.com. For the purposes of this policy, the timestamp of the email will be used as the time of the request.

DM Delphi Store

Our policy is valid for a period of 30 calendar days from the date of the purchase. If you would like to return the product for a refund during this period, you may do so provided the conditions below have been met. Please note that if the period of 30 days has lapsed, we can’t, unfortunately, offer you a refund.

Refund requirements

Due to the custom nature of DM Delphi merchandise, the following criteria must be met to qualify for a refund:

  • Product is defective

  • Product is not as described

In order to ensure the above criteria has been met, all returns will be inspected. If the product does not meet the listed criteria, we reserve the right not to issue a refund.

Sale and clearance items

Only regular priced items may be returned, unfortunately sale or clearance items cannot be returned.

Shipping items

You will need to attach a pre-paid return shipping label to the package and mail it to the address on the shipping label. You will not need to pay for shipping.

You must take care to ensure that the goods are properly packaged so that they will not be damaged while in transit. If the product is found damaged or used beyond what it takes for us to reasonably inspect it, then we may reject a refund.

Refunds

Refunds that are authorized under this policy will be processed back to the original form of payment within 24 business hours. Once processed, refunds may take up to one full billing cycle to appear on your card, depending upon how the customer’s bank handles the transaction.

Adventurers Code of Conduct

Dungeons & Dragons is a cooperative role-playing game in which the participants (here called “adventurers”) share in the creation of a story and the sole objective is an enjoyable experience for all adventurers. To achieve this objective, DM Delphi has adapted the following Code of Conduct policy, which may be updated from time to time as needed. Adventurers will be notified of any changes to this policy, and continued participation will indicate acceptance of the updated policy.

  1.  Mutual respect is necessary at all times among adventurers. This includes respect for the DM and their rulings along with respect for each other by offering support to other adventurers.

  2. Adventurers are encouraged to burn their characters as they see fit, and there should be a careful limit between in- and out-of-character actions and discussion. However, adventurers are expected to remain respectful of one another. Discussion of potentially offensive character traits will occur during the character building process.

  3. Racism, sexism, homophobia, transphobia, ableism, religious slurs, harassment, abuse, or malicious, demeaning, or hateful language will not be tolerated in any way. 

  4. Certain topics can present challenges for adventurers. To ensure the safety of all players, the following topic restrictions are in place:

    1. The following topics represent hard limits that adventurers should expect are off-limits for all in- and out-of-character discussions:

      1. Themes or scenes of a sexual nature

      2. Exploitation

      3. Profiling

      4. Slavery

    2. The following topics may appear in an in-game setting due to the nature of the stories:

      1. Themes of violence / characters who glorify violence

      2. Deceit / lies of characters

      3. Moral quandaries / dilemmas

      4. Flawed characters

      5. Possibility of character injury or death

      6. Non-party romance / flirting

      7. Appearance of alternative religions/cosmologies, races, ethnicities, political and economic structures, and ideologies

      8. Use of magic and appearance of mystical creatures of both good and evil natures

    3. Adventurers participating in a full campaign will receive a survey and we will have a campaign discussion of any themes that may come up in a longer storyline.

    4. DM Delphi operates under the good faith principle that if an adventurer notes something as offensive, it is taken as such. This includes in-character.

    5. Players should feel comfortable approaching the DM with concerns about any topic or theme. DM Delphi will accept all concerns and avoid the topic going forward, no questions asked. If necessary, DM Delphi will inform other players without attribution, and all players should respect this request, again with no questions asked.

  5. Violation of this Code of Conduct, in the sole view of the DM, will result in a warning. Three warnings for the same or similar offenses will result in the adventurer being removed from the game, and all payments made by that adventurer up to the current session forfeited. Truly egregious offenses may result in immediate dismissal from the game and forfeiture of all payments. Future sessions for a removed adventurer will be refunded in line with the refund policy.

  6. Participation in a DM Delphi session constitutes agreement with this policy.
